This policy explains what personal information Anova Automations collects through this website and its own LinkedIn integration, why we collect it, who we share it with, how long we keep it, and the rights you have under Quebec's Law 25 and Canada's PIPEDA. Who we are

Anova Automations, based in Montreal.

Anova Automations is an automation studio in Montreal, Quebec. We build bilingual inbound call-answering and appointment-booking systems for local service businesses. For the purposes of this policy, Anova Automations is the party responsible for the personal information described below. What this policy covers

Our website and business contacts.

This policy applies to information we collect when you visit anovaautomations.com, submit our contact form, email us, or otherwise interact with Anova as a prospective or current client or partner. It also covers our use of the LinkedIn API to manage Anova's own company page.

It does not cover the caller data (call recordings, transcripts, appointment details) that flows through an Anova voice agent deployed for one of our business clients. In those cases we act as a service provider processing data on that business's behalf, and the details are set out on our Data & Privacy page.

Information we collect

What we collect, and how.

  • Contact form and email. When you fill in our contact form or email us, we collect the details you provide — typically your name, email address, business name, phone number (if you give it), and the content of your message.
  • Booked calls and meetings. If you book a demo or call with us, we collect the scheduling details and any information you share in that conversation.
  • Analytics data. We use Google Analytics to understand how the site is used — pages visited, approximate location (city/region, derived from a truncated IP address), device and browser type, referring links, and similar aggregate usage signals. This is set with analytics cookies.
  • Server and security logs. Our hosting provider (Cloudflare) automatically logs standard request data such as IP address, timestamp, and user agent for a short period, to keep the site secure and running.
  • LinkedIn API. We use the LinkedIn API to publish and manage Anova's own posts on our company page. This integration authenticates against the Anova company account and handles the content we choose to publish, along with LinkedIn's own engagement metrics for those posts. It does not collect personal information about visitors to this website. Information you share with LinkedIn directly is governed by LinkedIn's Privacy Policy.

We do not ask for sensitive personal information (such as health, financial account, or government ID data) through this website, and we ask that you not send it to us by email.

How we use it

Why we hold this information.

  • To respond to your enquiry, prepare a quote or proposal, and schedule and hold demo calls.
  • To provide and administer our services to clients, including billing and support.
  • To understand and improve how our website performs, using aggregate analytics.
  • To keep the site and our systems secure and to prevent abuse.
  • To send occasional business updates to people who have asked to hear from us or with whom we have an active relationship — you can opt out at any time.
  • To meet our legal and accounting obligations.

We do not sell your personal information, and we do not use it for automated decision-making that produces legal or similarly significant effects about you.

Consent and legal basis

The basis on which we handle your data.

We rely on your consent when you contact us or agree to analytics cookies, and on our legitimate business interests to respond to enquiries, run and secure the website, and manage our client and partner relationships. Where we are required to keep records (for example, for tax purposes), we rely on that legal obligation. You can withdraw consent at any time, though doing so may mean we can no longer provide a service you have asked for.

Who we share it with

Service providers, and no one else.

We share personal information only with the service providers that help us run Anova, and only as needed for them to perform their function:

  • Cloudflare — website hosting and edge/security infrastructure.
  • Google (Workspace, Analytics, Calendar) — business email, website analytics, and scheduling.
  • Resend — delivery of transactional and business email, including contact-form notifications.
  • LinkedIn — publishing and managing Anova's own company-page content via the LinkedIn API.

A fuller list of the sub-processors involved in delivering our voice-agent service to clients is on the Data & Privacy page, and a Data Processing Agreement is available to clients on request. We may also disclose information if required by law, or to protect the rights, safety, or property of Anova or others.

Cookies

Cookies and analytics.

Our website uses a small number of cookies: those needed for the site to function, and Google Analytics cookies that help us measure traffic. You can block or delete cookies in your browser settings, and you can opt out of Google Analytics using the Google Analytics opt-out browser add-on. We do not use advertising or cross-site tracking cookies.

Retention

How long we keep it.

We keep contact-form and email correspondence for as long as needed to handle your request and, if you become a client, for the life of the relationship plus the period our legal and accounting obligations require (generally up to seven years for records that support invoices). Analytics data is retained in Google Analytics for up to 14 months in identifiable form, then aggregated. Cloudflare's security logs are kept for a short rolling window. When information is no longer needed, we delete it or anonymise it.

Where your data is processed

Some processing happens outside Quebec.

Anova is based in Quebec, but some of our service providers — including Google, Cloudflare, Resend, and LinkedIn — process data on servers outside the province, including in the United States. We choose established providers that offer contractual and technical protections for the data they handle. We are happy to walk you through the specifics on request.

Your rights

Access, correction, deletion, consent.

Under Quebec's Law 25 and PIPEDA, you have the right to ask us for a copy of the personal information we hold about you, to have inaccurate information corrected, to ask us to delete information we no longer need, and to withdraw your consent to our use of it. To make a request, email [email protected]. We will respond within 30 days, and we may need to verify your identity first.

If you are not satisfied with how we have handled your information, you can contact the Commission d'accès à l'information du Québec or the Office of the Privacy Commissioner of Canada.

Security

How we protect it.

Traffic to our website is served over HTTPS/TLS. Access to the accounts and inboxes that hold personal information is limited to the people who need it, and protected with strong authentication. No system can promise perfect security, but if a breach ever creates a risk of serious harm, we will notify affected individuals and the relevant regulator as the law requires.

Children

Not directed to children.

This website and our services are intended for businesses and adults. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

Changes

Updates to this policy.

We may update this policy as our practices or the law change. When we do, we will revise the effective date at the top, and for material changes we will give notice on this page. This policy describes our practices and is not legal advice.
